Online Reserve Request Form

General Reserve Information
When many students are required to use a certain book within a limited time period, it is removed from the general collection and placed in Reserve stacks usually at the request of an instructor.
Most Reserve materials are books from the general collection; these are placed on Reserve at the 1st floor Circulation desk. Photocopies of periodical articles or chapters from books and instructors' personal copies may also be placed on Reserve. Some instructors place copies of their old tests on Reserve; however, the Library does not maintain a test file. CRC maintains a separate Reserve section at the 2nd floor desk.
Printable forms for placing material on Reserve are available here.
Reserve Loan Periods
Loan periods for Reserve materials are determined by the instructor requesting the Reserve. Most Reserve materials are checked out for an hour at a time during the day, and circulate overnight one hour before the Library closes. Overnight materials are due one-half hour after the Library next opens. Some Reserve materials are checked out for longer periods.
Reserve Circulation
ALL RESERVE MATERIALS MUST BE RETURNED TO THE RESERVE DESK.
Calculators
The Library has scientific calculators which can be checked out from the Reserve desk for two hours at a time.
Fines
Fines for overdue Reserve materials are $ .50 for the first hour and $ .25 for each subsequent hour up to $2.00 per day. Two- or three-day books and one-week books are fined at $2.00 per day. Maximum fine is $10.00 per item. There is no grace period for Reserve books. Fees for lost and damaged books are the same as those for the general collection.
Study Guides
A few study guides for civil service and academic exams, such as LSAT, GMAT, ACT, etc., are on Reserve. A list of the study guides owned by the Library is kept at the reference desk.
Electronic Reserves
Electronic Reserves generally makes it easier for instructors to place materials on Reserve because only one copy of any article or test is required; the Library performs the scanning and page management and obtains copyright clearance for articles.
Albertsons Library is legally obligated to adhere to current Copyright Law when placing materials on Reserve in either paper or digital form. Under the current laws, a photocopy of a single article out of a journal, or a chapter out of a book may be placed on Reserve for patron use provided:
- Albertsons Library owns a copy of the journal or book
- The reserve is only for one semester
- The material being copied represents less than 10% of the journal or book
If Albertsons Library does not own a copy of the original book or journal; the reserve is for more than one semester; and/or the material being copied represents more than 10% of the journal or book, the Albertsons Library is required to seek copyright clearance for the material before it can be placed on Reserve. This process is easier for some materials than it is for others, and it usually involves the Library paying copyright royalties.
If a professor wishes to place an entire book on Reserve, the easiest method is to place the physical book in paper reserve. There is no copyright problem if:
- Albertsons Library owns the book
- The professor owns the book
Books requested through Interlibrary Loan cannot be legally placed on Reserve.
Additional copies of books for Reserve may be ordered, at the faculty's request, for each 15 students in the course, with a maximum of 4 copies.
Academic Technologies: Policy on Scanning Copyrighted Materials into PDF Format
- Except as noted below, Academic Technologies will do no scanning of copyrighted materials other than color scanning for inclusion in Electronic Reserves. Faculty requesting scans of copyright documents into PDF format should be referred to the Albertsons Library Circulation Department or to the following web site:
http://library.boisestate.edu/
- As most files in Electronic Reserves are black-and-white scans, faculty who wish to have a color document scanned must first submit a Copyright Bibliographic Information Form to the Albertsons Library Circulation Department. The form is available online at:
http://library.boisestate.edu/circulation/circForms.htm
The Circulation Department will notify Academic Technologies when clearance has been obtained to proceed with the color scanning. Obtaining clearance usually takes 5 to 7 days. Therefore, Academic Technologies will accept no work for color scanning of copyrighted material into PDF format without at least 10 days prior notice.
- The resulting files will be sent to the Circulation Department so they can be placed into Electronic Reserves. Under no circumstances are these files to be given to the instructor, except as noted below (see nos. 4, 5, and 6 below).
- Documents in the public domain may be scanned and the files released to the instructor. In general, documents produced by the U.S. Government are in the public domain; however, some federal agencies are exempt from this rule. (For example, works created by the United States Postal Service are copyrighted because the Postal Service is an independent establishment of the executive branch of the United States government.) For guidelines determining whether or not a work is in the public domain, see the following web sites:
http://www.unc.edu/~unclng/public-d.htm
http://www.dist.maricopa.edu/legal/ip/guidelines/publicdomain.htm
http://www.mlcnet.org/services/copydigitize.php
- Documents produced entirely by the instructor may also be scanned; files may be released to the instructors if they no longer have the original files.
- Instructors who can provide proof of permission from the copyright holder to copy and use a copyrighted work freely from semester to semester may request scanning the copyrighted documents into PDF format, and these files may be released to the instructor.
- Academic Technologies, based on current workloads, will determine both the amount of pages which can be scanned and the turnaround time, and will do so regardless of whether or not the document is in the public domain or whether the instructor has permission to duplicate and use the document.
Process for Placing Material on Reserve
Material that is being placed on either paper or electronic reserve must be accompanied by the following forms:
- "Reserve Book Request Form" (Obtain copies from the Library Reserve Desk. If your printer will print 8 ½ X 14 size paper, you can find the form at http://library.boisestate.edu/circulation/circForms.shtm).
- "Copyright Bibliographic Information Form" (Can be printed from http://library.boisestate.edu/circulation/circForms.shtm).
If the material being placed on Reserve is not a commercially published item, but was written by a student, submit a copy of the "Student Permission Form" instead of the "Copyright Bibliographic Information Form" http://library.boisestate.edu/circulation/circForms.shtm
Material being placed on Reserve that is not commercially copyrighted, i.e. old tests, class syllabi, or other material that you wrote, does not require copyright clearance.
Along with the forms, submit one quality paper copy of the item to be placed on Reserve. Allow at least 5 to 7 days for processing. At the beginning of the semester processing may take longer than 7 days due to the amount of material being submitted by other professors.
The Library will use the information submitted on the forms to determine whether the item requires copyright clearance. If it does, the Library will apply for copyright clearance. If the request is denied, you may need to consider alternate materials
Accessing Electronic Reserves
The link to Electronic Reserves is listed on the Albertsons Library homepage under Reserves. The direct link is http://eres.boisestate.edu/. Faculty using Blackboard can also link directly to the document using the procedures shown below.
Click on the link labeled "Electronic Reserves"
You can look up a course page by listing courses by department, by instructor's last name, or use ERes QuickSearch.
The boxes listed under "Select a department" and "Select an instructor" both have drop down menus. Change the department box to the name of the department and click Go to get a list of all courses within that department that have materials on Electronic Reserve. Click on the course link to bring up a list of material placed on Electronic Reserve for that course.
The other method of entering Electronic Reserve is to go through the "Select an Instructor" link by using the drop down menu to select the instructor's name. Click Go to get a list of all courses for which that professor has material on Electronic Reserve. Click on the course to retrieve materials for that course.
If you have any questions or if we can assist you with the electronic reserves procedures, please contact Donna Sanders, Reserve Supervisor, at ext. 1141, or Mario Briseño, Circulation Manager, at ext. 4025.
